How to Setup Office 365 Invoicing and Quick Overview

Microsoft Office 365 Invoicing has been out for a while now but is still under utilised and surprisingly so. Its a very capable invoicing system for small businesses has many of the features of well established accounting packages such as Quickbooks and Zero. Best of all its included in the Office 365 Business Premium license subscription so you no longer have to purchase another service to do basic estimates and invoicing!

Lets take a quick look at how to setup Office 365 Invoicing and have a quick tour of its functionality. Hopefully you can start using it within your small business and possibly even save yourself some money or just look more professional to your customers.

The Invoicing app is available from the main Office 365 page or from the app menu in the top left corner.

 

 

Along the top are the quick menu links to Invoices, Estimates, Customers and your Price list for services or products that you sell.

To get things setup click on the ‘Set up your information’ link as shown below.

 

 

From the setup menu you can upload your company logo, Address, VAT number. Go through and enter these details as required.

 

 

Scroll down to change details about how Estimate and Invoice numbers work and what email address invoices are sent from.

 

 

Once you have setup your basic company details you can Click on Prices from the top Menu and add your products, services, set your hourly and daily rates as required. Enter the details of your products and services and press the back arrow to save.

 

 

Next click on Customers from the top menu to add a new one.

 

 

 

 

From Estimates you can create an estimate and email it to a client. Later when the customer has accepted the quote you can convert it to an invoice with the click of a button.

 

 

Choose the client, Add products and services to the estimate, preview it, email it to the client or convert it to an invoice.

 

 

Clicking on Preview will show you what the estimate will look like when its emailed to the customer. Estimates and invoices are attached to emails as a PDF file.

 

 

Click on Send to  email a copy of the estimate or invoice as a PDF. The email text can be configured as you wish for every invoice or estimate you send.

 

 

This is an example email received and it looks very professional. The PDF is also attached for easy download by your customer.

 

 

From the main dashboard you can quickly see your sales totals and even who your top 5 customers are.

 

 

 

Conclusion

Office 365 Invoicing is surprisingly good. Very easy to setup and use and best of all its included in the price of your Office 365 Business Premium subscription. I’m even going to use it in a new business venture of my own!
