Office365 Email Activity Reports

Office 365 recently got some new report features and one of them allows you to see how much email users have sent, received and read each day. Useful information for the team leader or management wanting to keep an eye on users who may not be performing as well as their colleagues.

To view the Office 365 usage reports log into the portal and go to the admin centre as an administrator http://portal.office.com and click on the Admin tile.

Next click on Reports then usage from the left hand menu. Here you can see the main reports available each showing the total amount of activity for a specified time period. Here we can see total activity for all users within the following applications:

  • Email
  • OneDrive
  • Skype for Business
  • Yammer
  • Office Activations

Lets click on Email activity to bring up the Email activity report. Here you can see usage reports for the last 7, 30, 90 and 180 days. Here I select 30 days and click on one of the circles in the activity graph at the top. Each circle represents the total sent, received and read email for that day. By clicking on a specific day the report will display a breakdown of the data, showing each user and the number of send, received and read emails on that day!

You can even export the displayed report data as a CSV file by clicking on Export. Download the file to analyse offline.

Summary

Office 365 usage reports are a nice and easy way to view how active users are during each day of the week. Compare users against each other and use the data as performance indicators, but remember most people favour quality over quantity 😉
